SmartSAT Privacy Policy

This policy explains what SmartSAT collects, why, and what control you have over it. It applies to the SmartSAT website and web app.

1. Information we collect

Account information — email address, name, role (student, parent, teacher, administrator), grade level, target score and target exam date.
Learning data — answers, timings, confidence ratings, practice and vocabulary history, wrong-answer records, generated practice variants and AI tutoring conversations.
Relationship data — the parent, teacher or class a student account is linked to, and invitations used to create those links.
Technical data — browser type, device type, IP address and access logs, kept for security and abuse prevention.
Content you send us — bug reports, feedback and support messages.

We do not ask for, and you should not submit, sensitive personal data.

2. How we use it

To provide practice exams, drills, vocabulary training and score estimates.
To generate AI practice variants targeted at the concepts you are getting wrong.
To show progress reports to the parents and teachers a student has explicitly linked to their account.
To send service email — account, security, assignment and report notifications.
To improve the question bank and the product using aggregated, de-identified statistics.
To keep the service secure and to detect abuse.

3. AI processing

To generate practice variants and tutoring responses we send question content and abstracted signals about your performance (such as skill tags and error patterns) to third-party AI model providers. We do not send your name, email address or other direct identifiers to them. Model-call logs are retained for up to 90 days for content-protection and quality auditing, then deleted.

4. When we share information

Service providers that run the platform on our behalf — hosting and database, email delivery, payment processing and AI model providers — under contract and only as needed to provide the service.
Parents, teachers and school administrators linked to a student account, who can see that student's progress.
Legal — where we must comply with applicable law or protect the rights and safety of users.

We do not sell personal information and we do not use it for third-party advertising.

5. Children

SmartSAT is not intended for children under 13, and accounts may not be created for them. Students under 18 need parent or guardian consent. If you believe a child under 13 has created an account, contact us and we will delete it.

6. Retention

Account and learning data are kept while the account is active.
After a deletion request, personal data is removed within 30 days, except where we must keep records to meet a legal obligation.
AI model-call logs: up to 90 days. Security logs: up to 12 months.
Aggregated, de-identified statistics may be kept indefinitely.

7. Security

Data is encrypted in transit and at rest, access is enforced at the database row level so an account can only read its own data, and source question content is never exposed to student, parent or general teacher accounts. No system is perfectly secure; we cannot guarantee absolute security.

8. Your rights

Access, correct or export your account and training data.
Delete your account and the personal data associated with it.
Withdraw a parent or teacher link.
Object to or restrict certain processing, where local law provides that right.

Write to privacy@smartsat.us to exercise any of these. Depending on where you live you may also have the right to complain to your local data protection authority.

9. Cookies and local storage

We use cookies and browser storage for sign-in sessions and for preferences such as interface language and theme. We do not use third-party advertising or cross-site tracking cookies.

10. International transfers

SmartSAT is used internationally and our providers operate in several countries, so your data may be processed outside the country where you live. Where required, we rely on appropriate safeguards for those transfers.

11. Changes to this policy

We may update this policy. The current version is always published here with its effective date; material changes will be announced by email or in-app notice.
